Man and Van Waterloo Health and Safety Policy
Man and Van Waterloo is committed to providing a safe and healthy working environment for all employees, contractors, customers and members of the public who may be affected by our removal and transportation activities. This Health and Safety policy sets out our overall aims, responsibilities and arrangements for managing safety during moving, loading, transport and delivery of goods.
Policy Statement and Objectives
Our objective is to prevent injury, ill health, property damage and environmental harm arising from our operations. We will achieve this by identifying and managing risks associated with lifting, carrying, driving, loading, unloading and working in and around properties and vehicles used for man and van and removal services.
We will comply with relevant health and safety legislation and recognised industry good practice. Health and safety considerations form an integral part of our planning and decision making for each job, from initial booking through to completion of the move.
Management Responsibilities
Management is responsible for implementing and maintaining this Health and Safety policy. This includes:
Ensuring that suitable risk assessments are carried out for our removal and delivery activities. Providing appropriate equipment, vehicles and protective measures to control identified risks. Supplying staff with information, instruction, training and supervision necessary for them to work safely. Monitoring performance, investigating incidents and near misses and taking corrective action where required. Reviewing this policy regularly and updating it in line with changes in legal requirements or business operations.
Employee Responsibilities
All employees and regular contractors of Man and Van Waterloo share responsibility for maintaining a safe workplace. Every team member must:
Take reasonable care for their own health and safety and that of others who may be affected by their actions. Follow all company safety procedures, instructions and training. Use equipment, vehicles and personal protective equipment correctly and report any defects immediately. Refrain from horseplay or unsafe behaviour on site or in vehicles. Report hazards, near misses, incidents, injuries and potential safety concerns to management as soon as possible.
Risk Assessment and Planning
Before each removal or delivery, we assess the work to identify significant risks and suitable control measures. This may include considering access routes, stairways, lifts, parking restrictions, loading areas, manual handling requirements, item size and weight, weather conditions and any special customer requirements.
Where higher risks are identified, such as the movement of heavy or awkward items, additional planning, manpower, equipment or specialist techniques will be used to ensure safe execution of the job. Work must not proceed if serious safety concerns are identified and cannot be adequately controlled.
Manual Handling and Lifting
Manual handling is a significant element of our activities, and special attention is given to preventing strains, sprains and other musculoskeletal injuries. Staff are trained in safe lifting and carrying techniques, team lifting, and use of handling aids such as trolleys, blankets and straps where appropriate.
Heavy or bulky items are handled by multiple operatives and, where reasonably practicable, mechanical aids are used to reduce risk. Items that are too heavy or unsafe to move by our standard resources will be refused or subject to additional arrangements agreed with the customer.
Vehicle and Driving Safety
Our vehicles are maintained in a roadworthy condition and subject to regular checks. Drivers must conduct basic pre-use inspections and report any faults or concerns without delay. Loads must be correctly distributed, secured and covered where necessary to prevent movement or falling items during transit.
Drivers must obey road traffic laws, drive defensively and adjust their driving to match weather, traffic and road conditions. The use of mobile phones or other distracting devices while driving is not permitted unless used hands-free in accordance with legal requirements. Fatigue is managed by sensible scheduling and, where necessary, breaks and rota planning.
Safe Working on Site and at Customer Premises
Our teams will take care to protect both people and property at collection and delivery locations. This includes using safe access routes, keeping walkways clear of trip hazards such as packing materials and tools, and avoiding blocking fire exits or escape routes.
Extra caution is taken when working in shared corridors, on stairways and near public areas to reduce the risk of collisions or accidents. Where conditions are unsafe, such as inadequate lighting, slippery surfaces or structural hazards, work will be paused until the risk is controlled or an alternative method is found.
Use of Equipment and Personal Protective Equipment
Man and Van Waterloo provides suitable tools and equipment for removal activities. This may include trolleys, dollies, straps, blankets and basic hand tools. Equipment must only be used by trained personnel and in line with manufacturer instructions.
Where necessary, personal protective equipment such as gloves, safety footwear or high visibility garments will be provided and must be worn as instructed. PPE is regarded as a last line of defence and does not replace the need for safe systems of work and effective risk control.
Hazardous Substances and Prohibited Items
Customers are informed that certain items cannot be transported due to safety or legal restrictions. These include, but are not limited to, flammable liquids, gas cylinders, explosives, firearms, chemicals, toxic substances or any item that is likely to cause harm during transport or handling.
Where hazardous materials are discovered or declared, the job will be reassessed and may be refused or rearranged under specific safety conditions. Our staff are instructed not to handle materials they reasonably believe to be hazardous or unsafe.
Accidents, Incidents and First Aid
All accidents, injuries, vehicle incidents and near misses involving our staff, customers or the public must be reported to management as soon as reasonably practicable. Details are recorded and investigated to determine root causes and prevent recurrence.
Basic first aid supplies are carried in vehicles or made available at operational bases. Staff are encouraged to seek medical advice or treatment whenever there is any doubt regarding an injury or exposure.
Information, Training and Supervision
We provide ongoing training and instruction to ensure our workers understand the risks associated with removal work and the measures required to control them. New staff receive induction covering key safety procedures, manual handling, vehicle safety and customer site conduct.
Supervision is provided based on the complexity and risk of the work. Less experienced workers are supported by more experienced colleagues and supervisors who help ensure tasks are carried out in line with this policy.
Consultation and Continuous Improvement
Man and Van Waterloo values feedback from staff, customers and partners regarding health and safety matters. Employees are encouraged to raise suggestions for improving safety practices or equipment. Where practical and beneficial, these suggestions will be implemented.
This Health and Safety policy is reviewed regularly and whenever significant changes occur in our business activities or legal requirements. Updated versions are communicated to staff and replace earlier issues.
Policy Applicability
This policy applies to all employees and contractors of Man and Van Waterloo while engaged in work-related activities for the company, including travel, loading, unloading and work at customer premises within our service area. Adherence to this policy is a condition of employment and engagement, and repeated or serious breaches may result in disciplinary action.
